SIMS (Shireburn Inventory Management System) allows you to attach images and other documents directly to a stock card. This feature provides a convenient way to view item-related files, such as product images, specifications, manuals, or certificates, while reviewing stock card information.
Accessing Stock Card Attachments
To attach or view files linked to a stock card:
- Navigate to Support > Stock Card.
- Find Stock Card > Details tab.
- Click the Paperclip (Attach File) icon.
A window will open displaying:
- A list of files currently attached to the stock card.
- Available actions, including Attach and Delete.
Attaching a File or Image
To add a new attachment:
- Click Attach.
- A file browser window will appear.
- Browse to the location of the file or image you wish to attach.
- Select the file and click OK.
The selected file will be added to the attachment list and will be linked to the stock card.
Important Considerations
When attaching documents or images to stock cards, it is essential to ensure that the files are accessible to all users who need to view them. If a file is stored on a local drive, such as your personal computer, other users will not have access to that location. As a result, they will be unable to open or view the attachment from within SIMS.
Example of an Incorrect Location: C:\Users\User\Pictures\ProductImage.jpg ❌
Since this file exists only on a specific workstation, other users will not be able to access it.
Recommended Storage Location
To ensure attachments are available to all authorised users, store files in a shared network location before attaching them to the stock card. A common and recommended approach is to create a dedicated Images folder within your SIMS data directory on the server.
Example of Correct Location: \\ServerName\Data\Images\ProductImage.jpg ✅
Because this location is hosted on the server and shared across the network, all users with the appropriate permissions can access the attached files without issue.
Best Practice
For optimal accessibility and maintenance:
- Store all stock card images and attachments in a shared server location.
- Use a dedicated folder structure, such as an Images folder, to keep attachments organised.
- Ensure all users who require access have the necessary network permissions.
- Avoid attaching files stored on local PCs or laptops.
By storing attachment files in a shared server location, you can ensure that images and documents linked to stock cards remain accessible and viewable by all authorised users within SIMS.
